BTP Meeting 8/11
Present: Yvette, April, Jane, Deb, Bill, Barbara, Suzanne & Jay
Paypal set up and goes to a BTP account. Linked to checking account, links
on site updated.
*Accounting overview (Deb):*
We are in the black for the first time in awhile. In a good position going
into the fall (see Deb, Niloofar or Suzanne for exact numbers)
*Booksale:*
Friday, September 28 - Sunday, September 30 (with time for set up and take
down)
September 15, 2-4pm—10 volunteers from LDS conference that can move books
upstairs for the sale
Bill is willing to deal with leftover books at the end of the sale, but
needs help pre-sorting and moving the books after the sale.
Talk about recycling vs. saving books for the next sale. Possibly have a
truck at the end of the sale that will go straight to recycling, volunteers
can be sorting out books worth saving and reselling.
Niloofar will send flyer to the list.
Jay will be responsible for yard signs and banner (week / day of task).
Suzanne will apply for the banner permit.
September 15 meeting will be focused on the booksale.
*Conference:*
Catering issues—Strawberry Fields felt like the best bet until they recently
fired their cafe staff without notice. Discussion of what alternatives we
have. No decision made. Also discussed serving meat, no decision made.
AIR may do a mini-booksale and awareness raising at the Farmer's Market.
Suzanne will email Carol Inskeep about booking bands for Saturday night.
*Grant:*
The table and outdoor awning we need before the grant is awarded, but also
the only items that fit the qualifications of the grant. We will ask for
awning and table as part of the grant.
*Steering:*
Bill is primary, Barbara is back up, Suzanne is further back up--call if
necessary
*Scheduling:*
Keystaff coverage for Thursday afternoon and Saturday afternoon. Jane wants
to know for absolutely certain that we are open or someone put a sign up.
Again, we need to use the calendar. Yvette and Bill are able to be key staff
for every Saturday from here to forever. When she can't do it, she will
contact the list. Jay and Suzanne are good for a lot of Saturdays.
Deb will take responsibility for Thursday afternoon. If she can't do key
staff she will find someone.
*Volunteer Pamphlet / Instruction Book:*
Noah & April will compile people's comments.
Once a month volunteer orientation? Choose a Saturday and a key staff will
be responsible for training on that day.
New volunteers cannot do data entry as that is a place that we catch a lot
of the errors that new volunteers make.
*T-Shirts:*
Black or white according to personal preference.
Buy enough for everyone in organization and a few to sell at book sales and
other events.
hear about other designs but let's plan on getting a t-shirt done and not
spend over $400
Jay & Suzanne in favor of a simpler design
Jane doesn't like the book/heart/dove
30 or 40 t-shirts to sell at booksales and other events.
