Steering Meeting 
August 16, 2007
 
Present: Mike, Debbie with Alternative Press Center from Baltimore, Bill, Caroline with Alternative Press Center, Bob, Chuck with Alternative Press Center. Danielle.
 
GROUP REPORTS
FINANCE: IMC finances and internal reconciliation of accounts going well. 2006 audit about to start. Energy co-op first bill came in from late June to late July…electricity bill was $20, gas was $120, down about $400-500/mo from the average. Co-op saving us significant money! Finance doing more coordination with Shows group finances.
PRINT: New Public I is out! First Amendment issue. Next issue in progress. 
WRFU: Meeting last week. Struggling financially. Acct. in last audit capitalized equipment expenses but didn’t account for that properly. IMCfest fundraiser upcoming 1st weekend of November. Internal RFU fundraising group up and coming. Key fundraising needs: streaming audio, tower fund, new equipment. RFU also applying for grant in coordination with B2p.
BOOKS TO PRISONERS: Book sale coming up. Tentative dates TH thru MON, 9-27 through 10-1. Anybody who wants to help with book sale, contact April via the BtP list: bookstoprisoners at lists.chambana.net. Want to confirm that BtP has reserved Sun Room for book sale starting Wednesday 9-26 for set up through the afternoon of 10-1 for clean up. (April has coordinated with Danielle on that.) Books To Prisoner’s RSO partner group will have a table at Quad Day 8/21.
Danielle mentioned a future plan to cull the IMC’s periodical collection and suggested that BtP go though them first to pull out any that might be of interest to the prisoners or at the jail libraries.
 
AGENDA ITEMS
1. IMC table at Quad Day, August 21st, 10 am to 3pm. All working groups are invited to participate. Please RSVP to the list imc at ucimc.org or rfu at ucimc.org if you’d like to help staff the Quad Day table. Ray Morales will be broadcasting live from Nevada street festival after Quad Day. 2. Alternative Press Center discussion. See attachment, “Proposal for Alternative Press Center move to the IMC”. Danielle presented the ongoing discussion of the proposol 
APC met with Danielle et al. regarding creation of permanent Alternative Press Center library located within the UC IMC. Plans to finalize decision on proposal by 9/6 Steering Meeting. See attachment for ideas on use of space/location of library, as well as other details of the proposal. 
Issues of IMC/library staffing were discussed, with hopes that regular open hours for the APC library can be established. (E.G., the possibility of having the APC staffed 5 hours a day was discussed, with further open hours as volunteers get involved.) 
Danielle raised a concern that construction for food service, such as a future coffee shop within the IMC, might conflict with the use of space set aside for the APC library. If some future need arises to move the APC browsing collection, Danielle expressed a desire to make sure that both IMC and APC will be open and flexible in dealing with such space conflicts. 
No other concerns or objections were raised and there was consensus to continue with the next stages of the proposal negotiations (see below).

Here is the proposal for the APC to relocate from Baltimore to the UC IMC as discussed in steering tonight. 

Proposal for Alternative Press Center move to the IMC
August 16, 2007 

Schedule:
8/2/07 - conference call with APC staff
8/15-16 - tour IMC with APC staff in person
8/16/07 - discuss proposal at IMC steering
8/20/07 - APC board meeting to discuss IMC proposal 
9/1/07 - deadline for APC to decide on move
9/6/07 - IMC steering meeting to finalize decision on APC move
9/15/07 - lease & agreement sent to APC to sign
10/1/07 - APC move in date
Proposal:
- APC relocates from Baltimore to the UC IMC
- APC rents "blue room" #224 for minimum of one year lease at $300/month starting ASAP but no later than October 1st.
- APC rents a100-200 square feet of storage space at $4 a square foot in a location that allows for the transfer of 50 pound boxes. Right now basement space near the conveyor belt is favored. 
- IMC houses the APC's library of books, recent periodicals, and newspapers on the first floor, providing space for approx. 100 shelves or 375 linear feet of shelves.
- The APC and IMC will conduct a design charette to determine the best space for the library taking into consideration: visibility, aesthetics, security, and compatibility with shows, gallery space, and a potential future cafe. 
Right now some ideas are:
--> locating the browsing collection of current periodicals, newspapers, 
and some books in the current library space and gallery spaces
--> putting additional back issues of periodicals which make up the 
bulk of the collection on shelves against the wall in the sun room.
--> locating the entire collection south of the stage by the windows
--> establishing a research/study space near the collection with public 
access computers, a large table, good light
- APC would build/suppy needed infrastructure, such as book shelves. IMC would provide use of the woodshop and any available supplies.
- APC would staff the IMC space during set, announced hours. IMC would like this to be 40 hours per week is possible. APC offers 25 hours per week. IMC would provide orientation and training for APC staff. 
- APC would coordinate the librarians working group - including volunteers and interns interested in helping with the library collection.
- APC would empower 2 spokespeople to represent the librarians working group at steering meetings. 


Some brainstorming ideas:
- IMC person on the APC board
- Consider working towards a glassed in area for the collection
- joint grant writing
