We are trying to NOT give staff the codes for the offices (this was discussed in the last meeting)- but it can easily be stored in the staff locker in the 'staff kit'.

I like the idea of keeping it in the production room when there are not staff on duty. The phone line is already there and we can just have it at the staff desk when needed.

Hi everyone,
I just got off the phone with AT&T (the IMC's service provider) - it is not possible to add what they call an "account code" (dial out code) for local calls. This is only available for long distance calls, which doesn't resolve our concern: we are charged by the minute for local calls if we exceed a certain number of minutes. The research I've done online has turned up similar results.

Another thing I hadn't considered is that things can get lost here at the IMC. It might not be a bad idea to keep the phone out of sight when staff aren't around.

So, we have a few options for what we do with the phone:
1.) have a lock box on the desk to keep the phone accessible for staff use only
2.) keep the phone in a cabinet or other secure location that only staff can access
3.) other suggestions? I'm open to whatever people think will be easiest.

There is a combination lock on a grey locker in the postal loading dock, for use by IMC staff and volunteers when they want to keep items stored while staffing or leaving the building. The code is 1101. Please give this to staff when they have been trained and sign up for a slot. The code can be changed with a key (I don't know where this is), or probably also by manually resetting (not sure yet how to do this), but we won't need to change it for a while.

I vote for:

-a code so that it doesn't matter if the phone is out or not, people can't make calls without being in the loop.
-widening the hole to make room for more cables

If you are getting this email and you AREN'T on the community listserv, please consider joining it so that you're in the loop. Let's keep using the list so that people don't get left off and there's an archive- okay?

Thank you Brian, and everyone who attended the staffing meeting last Friday. This looks very good. I added a brief note about the phone.

The IMC Production group has purchased a cordless phone to donate to the IMC main space.

We have two options: 1) a code to make outgoing calls; or 2) the base will be kept in a small locking cabinet (with a combination lock) on the Library checkout desk, with the line running into the Finance office. Staffers will have access to this combination, take the phone out during staffing hours, and return it at the end of their shift.

There is currently a CAT5 cable coming out of the wall. We can either pull this and run the phone line through, or widen the hole and have both lines running. We will need to make a third split in the phone line (currently it is split two ways, Finance and Production).

Thank you SO much for doing this, Brian. I made some changes -highlighted in yellow or with the heading highlighted in yellow. Let me know if there are any questions about these changes. They mostly reflect recent updates to existing policies.
