BTP Meeting Minutes 11/14/2009

Attendance: Judith, Jamie, Yvette, Sara, Ann, Barbara, Jay

*Financial update*
- Last month we broken even for the year (income exceeded expenses) largely
due to the revenue from our book sale
    income from the fund raising house party not yet counted ($1350)

*Staffing Public Work Sessions*
There is a shortage of volunteers signing up to cover our 3x weekly public
work sessions.
- individuals are encouraged to commit to staffing a certain shift for 1
month at a time
    Jay will take Saturdays in December
+ print out the 9 points of keystaff responsibilities and post it (Jay)
+ set keystaff responsibilities page as default tab in web browsers on BTP
computers
+ defer APO and other organization to special work sessions (Yvette, Jay,
Suzanne, Jamie) - highlight in brochure

*Governer's home town sign*
Durl has offered to work with the city guy who can mount the sign.
- The attendants of this meeting decided that our first choice for location
of the large sign is below the brown PO sign on the N-W corner of IMC lot
+ Get permission from IMC to post sign here and coordinate the integration
of signage whoever put up the black easel-style sign on this corner - Judith
+ additional outdoor sign will be created for Elm Street. (- Judith / Chris
[resident artist]) vinyl decal for sign - Jay

*Workflow*
concern raised about more attention required to hardback restrictions & 'no
dictionary' notes on letters
+ letter processors should begin marking these *notes to pullers* with a
highlighter marker so they are more clear
+ *checklist for assembling an order* will be printed & posted - Judith

*Meeting with IDOC Director*
Sara recently met with Robin Riggs and will soon be meeting with Michael
Randle (invitation open for interested volunteers to also participate)
+ discuss the need for DOC facilities to align processes with respect to our
organizations - Sara

*Restrictions*
Pontiac inmates reported some problems with hardbacks, Barbara followed up
and discovered there is no such restriciton
+ list of facilities with hardback restrictions will be updated to include
Tamms (now includes: Dwight, Lawrence, Sheridan, Tamms & Taylorville) - Jay

*Jail Collection*
The County was recently asked to match funds for purchasing urban fiction
for the county jail. Nancy possibly mis-understood the request
+ follow-up with Nancy re: donations from publishers for jail library - Jay

*Dictionaries*
We are currently out of dictionaries
- more have been ordered and should arrive very soon

*IMC 10 year anniversary Saturday - Dec 5th *
As a part of this event which includes skill-share workshops & other
activities, groups of youth will participate in BTP
+ BTP will host youth work session (groups of 5 will work in 30 min shifts
from 2-4pm on Sat Dec 5th - Jay will be keystaff
+ Additional help is required - Please contact Jay if you can help supervise
this special work session

*Book Drive*
A book drive was recently suggested, but nobody at the meeting seemed to be
ready or able to commit to organizing this, Judith will follow up Deb

*Thanksgiving Week Work Sessions*
No public work sessions will be held the week of Thanksgiving (Nov 24, 26,
28)
+ public web site will be updated - Jay
+ reminder will be sent to all email lists - Judith
