OK to get discussion rolling tonight about the copier policy, I decided to take a stab at one. Feel free to bring changes, ammendments or whole new policy if you like. I'll bring a couple of copies with me as well.

Proposed UCIMC Copier Policy

BASIC POLICY

The copier is for use by UCIMC working groups and steering group for IMC related business. 

Each working group will be given a unique code for the copier. 

Each group is responsible for how that code is used. If for any reason a group wants their code changed they should contact (outreach? Ellen? Someone else?). Furthermore a group can request more than one code if they want to track more specifically how the codes are being used. 

Each group is responsible for bringing their own paper. If groups leave paper in the copier, there is no guarantee that it will be there the next time they need copies. 

If there is paper in the copier, it will be assumed that it is for general usage. However, this general usage paper should be limited to 25 copies. In other words, if you are making more than 25 copies (that’s using 25 sheets of paper, not making 25 copies of a 10 page document) you must supply your own paper. 

Approximately quarterly, the groups will be notified about how many copies they have made and what percentage it is of the total copies made for that quarter. (Ellen? outreach? someone else? will be responsible for sending this out)

When it comes time to buy more toner for the copier and/or pay for maintenance working groups will be expected to chip in based on their percentage of use. 

RATIONALE

I think we should think of a copier as a resource for the IMC that saves us money, not as something that could be a revenue stream. I do not think that we currently have the organization to function like a copy shop, (not to mention our neighbor is a copy shop). I also think that this is a place to start. I think the policy can be amended and/or changed when we have a better sense of its operating costs. 

WHY YOU MIGHT HAVE A PROBLEM WITH THIS POLICY

Following this policy we can’t take Ian’s money and let him make Canopy Club copies. 

It doesn’t specifically allow for courtesy copies (though any group – and in reality any person with a code – can decide to make courtesy copies for someone)

It seems like too much work to track copy percentages and “bill” working groups.
