Finance/Fundraising Working Group Meeting February 12, 2001 7:30

Present:  Mike Lehman, Paul Riismandel, Sascha Meinrath, Sarah Kanouse
(notetaker)

IMPORTANT NOTICE: Finance meetings are moved to alternate WEDNESDAYs at 7:30
PM.  Next meeting is February 21.

I Bookeeping
  Mike will help Sascha with IMC bookkeeping as soon as the IMC has adequate
computers to run Quicken and all files can be moved from Sascha's house to the
IMC.
   Paul built a computer for IMC 'office' use;  it will be set up after the
wiring party this Saturday.

II Space Rental
   Discussion:  What is the difference between Space and Finance in issues
relating to space work?  Proposed guidelines:  
   Space:  organizational,  will book space and make contracts, in charge of
staffing.
   Finance:  negotiate terms & prices when needed with renters, manage
payments for space, approve/plan fundraisers in the space

   Jobs:
   Paul will contact Molly re: general space rental terms and contracts
   Sarah will create membership documents
   Paul will work on fundraising event plan guidelines

III Retail
   IMC can have co-op cash register--Sarah will follow up
   IMC is proposing co-op membership to sell co-op food and buy materials from
co-op for use inthe space--Sarah turn in to Molly this week
   Paul is working on a system to order books;  a solicitation for book orders
will go out via email and be posted in the space when ready.
   Paypal is currently configured for donations but also allows sales.
   Paul is negotiating with a California company for buying mini-disks and
other media production equipment.
  Paul is also in contact with zine distributors.

IV Tax Stuff
   Sascha and Sarah spent much of the day finishing up the 501(c)(3)
application, the sales-tax exemption application, and the charitable
registration forms.  Will be copied and mailed this week.

V Needs for Finance
   Sarah and Sascha will work on a proposed budget for the year
   Filing Cabinet!!! to store records
   Does the grantwriting group need a monthly meeting?  Sarah will ask.

VI Meeting change
   Finance/Fundraising meeting moves to alternate WEDNESDAYS at 7:30.  Next
meeting is February 21.
