  Here are notes from today's meeting for review before they are posted to the general lists.  Particularly check the attendance at the end.  I did not think to copy people's names from the attendance sheet before I left, so I went from memory. Sorry if I missed anyone or spelled anything wrong; I know I don't have Ian's last name.  I thought it should definitely be included, since we are asking other working groups to please include theirs.
   
   
  Minutes from WRFU Membership Group Meeting

  Membership
  The membership group is responsible for maintaining membership lists of active members. This actually makes it easier for members to be active. We discussed ways to do that.
  Each programming group is expected to do three things to be considered active. 
      
      They should have at least one member in attendance at either a working group meeting, or the general meeting. (The written organization chart needs to clarify this)  
      They should have their show at their regularly scheduled time, logging in and out, or give notice that they will not be there.   
      Be current with their membership dues

  The membership group will begin three activities to help make it easier for programming groups to see if they are complying with this. 
      
      Lavana will review past attendance sheets for meetings, comparing these to a list of programming groups to determine which programming groups have been at meetings. This list will also be maintained into the future. Whenever a working group has a meeting, the programming groups who had a member at that meeting will be marked as being active for that month. Ken Urban has begun some work on this and Lavana will work with him.  This information will be posted on the web-site and in the studio so that all programming groups can see clearly if someone from their group has been at a meeting in any given month.
  
      Janice will begin reviewing past show logs and compiling these to show which shows have actually been on the air during their given time slot. Dan Blah has begun work on this and she will work with him. Shows that have either not been on the air, or have not signed the log put the entire radio station at risk. Therefore after two missed shows (either no show, or no log in) they will be suspended, and after four terminated, if the problem is not resolved. If a show is not using their time slot, that time slot will be given out to someone else.  
      Currently each member pays for one year when they join, and renews one year from that date. So all members have different renewal dates. The membership group will be submitting a proposal at the General Meeting suggesting that membership dues all come due on Sept 1 each year. We are proposing that membership cost $24 for one year from Sept to Sept ($2 per month). If members have already renewed this year, the amount due will be figured in Sept 2008. If members come due for renewal between now and Sept they will only renew through Sept of 2008. All memberships that are currently overdue for renewal, will renew now through Sept 2008. All overdue renewals considered due Sept 1. Then in Sept 2008, all current members will renew. When new members join their membership will be prorated. This will make it much simpler for the Membership Group to keep track of renewals, and thus will make it simpler for members to renew. Lavana will work with IMC finance and Ken Urban to
 begin this arrangement if it is approved at the General Meeting.

   
   
  The membership group also wants it to be easier for programming groups to be active. To make this happen we will do the following:
      
      The membership form will include a place to check which working groups a new member is interested in joining. Their name will then immediately be given to the contact person of that working group, and they will be added to that group’s email list.   
      Noel will contact Dan and Ken and begin a page at the web site that gives the contact information for each working group, when their meetings are held and where, and what projects that group is currently working on. When a person expresses interest in being a member, this is a page that they can review before filling out their application. Therefore they will be prepared for the responsibility of membership.  
      Working groups are encouraged to post notes from their meetings to three email lists, their own list, the station list, and the general rfu list. This will help everyone know what is going on in all working groups. Perhaps, someone is not currently in your working group, but you may begin a project that they can help with. If the minutes from the meeting are posted, and the information about current projects is on the web site, this will help everyone know of ways that they can pitch in.

  Training
  Noel will coordinate with others that have been actively involved in training new air shifters to
      
      update the air shifter manual  
      make a training check list (with a portion for the new member to sign that is kept on file, showing that they have been trained)   
      and schedule a day to train new trainers

   
  Open Station Manager Position
  Mike Lehman is resigning as station manager, and the position remains open. The position involves being familiar with all FCC rules and regulations and making sure that they are complied with. In order for the station to function, the FCC must have someone named as the station manager that they can contact. Mike will continue moving forward with tasks until a replacement is found, and even help afterward to ease the transition.
   
  Paperwork and permits for tower
  Mike has these under control.
   
  We will next meet Sunday Sept 16 at noon in the Family Room. This will be immediately before the next General Meeting.
