[Imc-makerspace] Invitation Text Draft

Hey everyone,

I am re-reading my "Houseparty Guide book" and I hope that these insights
will help us have the most successful party possible:

1.) The E-vite is fine - be sure to link it to a map to the IMC.
2.) The invitation should have a personal note from one of the host
committee members. So, you might each send one to your contacts - just make
sure we decide who will contact whom so there isn't overlap.
3.)Follow up with personal contacts by phone to see if they will be able to
make it. When you call, if your friends cannot make it, don't be afraid to
ask them to donate anyhow! If they can make it, encourage them to bring a
friend.
4.) Also - if there is someone prominent or well-known locally who would be
willing to invite their contacts, if could boost giving. We might invite
this person to serve on the planning committee. It won't be too much work
for them, but they can help us by make personal invites to other influential
persons, and assist us in soliciting donations that evening.
5.) We should expect 25% of those invited to attend

Here's a slightly edited email:

You're Invited!

On June 3, 2010, from 6-8pm (is that right?) I'm co-hosting an Open House to
introduce the MakerSpace Urbana to friends and colleagues and to raise funds
to for this important project. I hope you will join me for an evening of
food, fun, and an introduction to the MakerSpace.

Maker Space Urbana is a community electronics lab dedicated to enabling the
blend of arts, humanities, science and technology. Our mission is to provide
an open community lab where people of diverse backgrounds can learn, teach,
tinker, collaborate, share, innovate, socialize, and create. A small group
of colleagues and I have been working for the past (*how many?*) months to
build our lab and we would be honored if you would attend our first Open
House!

We're located at 202 S. Broadway Ave in Urbana (link to map) at the
Urbana-Champaign Independent Media Center (IMC). Come learn about the cool
things we're working on, what we have planned for our community and how you
can help. Stay for a tour of our fledgling laboratory.

If you can't wait until June to stop by, visit during our open hours every
Wednesday from 7pm to 9pm and every Saturday from __ to __. Makerspace
Urbana is in suite 15 in the basement of the Independent Media Center.

We'll be sending out an official evite, soon. Thanks for supporting
Makerspace Urbana!

*Next steps: *Let's get together at another meeting and discuss:

-We should think about one person who can clearly and articulately make an
appeal for donations. It should be someone well-respected by the group and
has given to the cause, or will that evening.

-We should think about what materials we want to make available at the event
itself - maybe a station with some pictures of the maker space and brochures
about the Makerspace, CHD, and IMC.

-We should talk about the flow of the event. We should have a "Host" who
welcomes everyone, a "Presenter" who talks about the importance of the
project and can do some Q&A, and, finally, the host, presenter, or respected
individual makes a clear appeal for donations and thanks everyone for
coming.

- Who can be greeters and ask people to sign in (so we know who shows up!)
and give them each a pen and a pledge card

Sound good?
