NOTES FROM IMC PROGRAMMING COMMITTEE

Lots of decisions made and sent to other board committees. Please read.

Attendees: Danielle and Rachel (co-chairs), Rohn, Susan, Mark, Don, Brian,
Alex, Chris, Ezra Shine.

*PROPOSAL: IMC co-sponsorship of free video production and composition
class by SDAS.*


   - Focus is on climate change, racism, and dismissal of experimentation
   and risk.
   - 6 weeks. Tuesdays from Sept 3 - Oct 8 5 - 7pm
   - Held in the Family Room with possible production room use later in the
   semester.
   - No tuition is being collected.
   - No payment would be made to use the space.
   - SDAS would become an IMC organizational member.
   - Participants will be encouraged to become members of the IMC.

CONSENSUS! FINAL DECISION

FOLLOW UP:


   - Get membership info to Susan & Mark to promote - Danielle
   - Put on the IMC calendar - Danielle - DONE


*PROPOSAL: Poetry reading by Mitchell Cohen and Sandra YurGriffin,
organized by Mark Enslin, be a sponsored event at the IMC.*


   - Event will be free, open to the public, be publicized as an IMC event,
   and the IMC will be introduced at the event. End of August.

CONSENSUS! FINAL DECISION

*PROPOSAL:  Policy for IMC Programs and Events and Use of Space*

*Part 1: Family Room:*

Proposal: The family room would be available to IMC members and member
organizations in good standing for non-commercial activities. Donations are
encouraged but not required.  The IMC must be listed as a sponsor of the
event. Members using it for activities were fees are required, such as a
class or workshop, or non-members would pay $10 an hour. (see detailed
rules, discussion of access, etc here)

Part 2: 1st Floor Lounge*

Proposal: To create a comfortable lounge area on the first floor with wifi,
computer access, books, a selection from the zine library, and coffee maker
that is available to members during open hours.

*NO DECISION* BUT DISCUSSION INCLUDED:


   - PC suggest that new IMC staff collective establish open hours in
   evenings and weekends to accommodate members.
   - Desire voiced for some public access hours, not just members.
   - Concern about staff time policing the space if it is open to the
   public.
   - Consider public access computers for the public and members-only
   lounge in separate places
   - Create headphone check out for members
   - Consider asking architecture class to come back and design first floor
   lounge

Part 3: Art Gallery*

Proposal: Members may host one art exhibit per year free of charge for up
to 4 weeks. May host a reception as part of membership benefit (free). All
materials and social media must include "Sponsored by the Independent Media
Center" or logo. IMC receives 20% commission on sales. $100 deposit may be
required by Venue Coordinator.

Non-members may host one art exhibit per year free of charge for up to 3
weeks. Must pay the hourly rate for a reception or event. IMC receives 40%
commission on sales. $100 deposit is required.

DISCUSSION:


   - Idea for Programming Committee to organize art shows around major
   events such as Makerfaire, Zine Fest, B2P booksale, and Boneyard Arts Fest.
   Discussion about requesting an arts council for these shows.
   - Concern that the permanent collection at the IMC lacks a home and is
   vulnerable. Discussion about making room for it in the shows closet.


*Part 4: IMC Programs & Events in the Main Space*

Proposal: IMC members (in good standing), board members, working groups, or
staff members may arrange IMC Programs and Events. If the event is free,
the IMC provides the venue free of charge. If the event has an admissions
fee, 100% of admissions goes to the IMC. Payment of artists or other
expenses must be pre-arranged and will be paid by check by the IMC (not by
the booker out of admissions). See details here.

DISCUSSION:


   - Would like to create a fund built from a portion of admissions that
   would allow us to bring talent to the IMC (make guarantees to artists, etc).
   - Consider a fixed number of days for IMC events so there is space for
   rentals.


*Part 5: IMC Co-sponsored Events with Member Organizations*

Organizational partners ($100 per year organizational affiliation fee
musthave been paid and up to date) can request to hold an event that
will be
co-sponsored by the Independent Media Center.

*Cost:*

   - If the event is free, the IMC provides the venue free of charge.
   - If the event has an admissions fee, there is a 60/40 split where 60%
   goes to the IMC.
   - Other arrangements may be made through the programming committee.

*Part 6: General Space Rental*

The Independent Media Center offers three distinct rental rates, depending
on the classification of the renter. This is as follows:

   - IMC Member Rental ($35 per room per hour. $45 for both rooms). This
   rate can not be used for weddings,
   - Non-profit groups ($45 per room per hour. $60 for both)
   - Private Rental ($60 per room per hour. $90 for both).

   - Consider
   - Consider limiting or denying parties that don't fit our mission and
   end up costing us more in the long run than they bring in.

*Notes on all venue usage:*

All events are smoke free. Most events are alcohol free with all ages are
welcome and encouraged to attend. To have alcohol, liquor liability
insurance is required at time of signing. A security deposit and down
payment on the rental is required. All events must end by 1 AM and be shut
down after 2 AM. The Urbana-Champaign Independent Media Center’s Board of
Governors and Facilities Committee reserve the right to reject or negotiate
custom changes to any proposal for usage of space.


*ANNOUNCEMENTS:*

   - Zine Library work moved to another time.
   - Out of the Mouths of Babes celebration Sunday 2-4pm. Rachel is
   considering creating an OMB Kids Media Lab at the IMC in Fall and Spring.
   - Makersfaire (Sept 21) looking for more proposals. Send people to
   ucmakerfaire.com.
   - Midwest Zine Fest - Rachel is putting together a planning committee.
   Pulling together old instructors and resources. Emily Knox offered to
   recruit GSLIS students.
   - IMC Guest artist program - Danielle has rented the puppet studio and
   intends to launch this program. She has secured 3 funders to underwrite
   space and would like to secure enough funders to fund 3 spaces at the IMC.
   - IMC Rapid Response Team. 8 people interested. They will meet
   separately as a group.
   - IMC Open House - Looking to host an Open House, tour, and membership
   drive kick off Saturday Sept 21st. Danielle intends to work with Carol and
   create a committee.
   - OUTREACH OPPORTUNITY:  Quad Day Aug 25th. We need more volunteers.
   Carol is taking this over from Alex.
   - OUTREACH OPPORTUNITY: Pygmalion Music Festival - Friday, Sept 27th -
   will bring a lot of people into the IMC. We should staff a table.
   - Shows Amp is broken. Looking into replacing.
