8 am Set up Registration
noon Lunch – food for ~ 50 people (the set-up crew)

7-9 pm Opening Plenary with Barnraising Work Plan
9-11 pm Opening Night Party
Saturday
9-10 am Breakfast

budget. well, we can try to make one. we have not used them for
barnraisings before, we have done it by feel. each group has done
things differently- all have made an effort to save us as muc h money
as possible by getting conference related things donated. but some we
had to pay for space. others we had to pay a lot for food. etcetera.
as defined in the barnraising handbooks, there are conference related
expenses, which we pay, and station related expenses, which you pay.
rest assured, we will reimburse all conference related expenses.
lets do it this way. expenses under $100, conference related- just go
ahead. notify us of any expenses over $100, and we will let you know
whether to go ahead and make the purchase, which we can reimburse you
for. if you need a pile of money up front to spend from, we can front
that. let us know how much.
I assume that the space rental is free for use of the post office. that
gives us a little more flexibility on food pricing.
For food, tell us how you are thinking of doing this. below is an
example of the ways we have done it in the past. for food, we try to
avoid paying more than $2/person per meal for breakfast, $4/person for
lunch, and $5/person for dinner. the barnraising handbook is supposed
to have a spreadsheet of the number of projected meals at different
times during the weekend-- the peak of 150 eaters is generally saturday
lunch and dinner, with a bell curve going down from there. kate has the
most recent version i believe, i will ask her to send it.
here is my edited version of the barnraising handbook, too. we still
have to add a few more materials like the spreadsheet.
