hello urbana!  Kate from Prometheus here.

thanks for the update/meeting notes.  i'm trying to get in the urbana
barnraising loop.

and congrats on the antenna/structural engineer difficulty which seems to
have been sorted! phew.

so.  here's the thing.  Margo, the Grassroots Radio Conference organizer
(now happily back with her gorgeous two year old in seattle), is working
on pulling together a Barnraising Manual based on the GRC/VFR barnraising.
 I don't know how long that's going to take--we had hoped by about now, so
it would be useful to you guys.  We DO have a bunch of content for it--it
is very rough draft, but i still think it would be helpful--next week, i
can work on making it a little more comprehensive for you.  Would you like
for me to do this, and forward on what we have so far?  I will work on
seeing how much we have in electronic files; some may need to be retyped,
and all needs editing and updating.  but like i said, i still think it
will be a good resource even in its unfinished state.  Let me know.

We're going to talk about the barnraising at our next office meeting later
next week, so it would be great if i could touch base with someone over
the phone before that.

Also: I noticed you have been in contact with the gentleman from Ghana. 
we don't have any plans to sponsor his trip here--are you guys working on
that?  who can I follow up with about Mr. Ankomah?

OUTREACH/PARTICIPANTS
*I will write up the outreach text on the barnraising event early next
week to use for flyers/emails, etc.  Do you have any text to this effect? 
I also need to clarify what exactly is happening at the barnraising
wireless-wise.
*We have a punk rock flyer made by a wonderful volunteer.  I can fax this
if you like.
*have you created any outreach materials as of yet?
*we will alert our lists, as well as reach out to midwest people in our
extensive lpfm database, likely by email, some by phone.
*In our next newsletter, we'll include an outreach/save the date page on
Urbana.  This goes out to over 6000 people and organizations.

VOLUNTEER SURVEY
I am not sure what this means.  please advise and i will too.

HOUSING
I'm not sure either what you mean by a housing request email--is this an
outreach to potential homestay offerers?  Please also clarify what you
mean about the housing board, and we can address this.
Many of the barnraising participants will want free housing, either
homestays or crash space.  30 minutes is a little far, tempered, of
course, by the bonfire availability which is always a major swinging
point.  How many people could crash here? But a lot of people may not have
cars, so something within walking distance would be better.  I think it
will be alittle cold for most to camp.
For the Grassroots Radio Conference and VFR barnraising, we used an online
community spaceshare board where registrants could post their housing and
rideshare needs, and then other browsers could contact them directly about
filling those needs.  It seemed to work well, but we did end up doing most
of the housing and transportation coordination ourselves, and this is ALOT
of work.
Libby Reinish did a superlative job of coordinating homestays for the GRC,
and will be a great resource for whomever ends up, on your end, being the
housing point person.  this person should be in place ASAP, housing is one
of the major logistical deals of the event.
A list of local hotels you recommend in a range of prices would be great.
There will be a place on our registration form for people to indicate
their housing preferences.  We wont have any hard numbers until
registration closes (which it really doesn't, people always sign on last
minute)--i think the best way to deal with the housing requests is work on
it continually as registrations come in.

BUDGET FOR ENTERTAINMENT
The GRC was the first time we had a budget for entertainment.  Let us know
what you have in mind,and we can talk about it--the GRC was an event of a
different scope than a barnraising.  Past barnraising stations have had
entertainment, often as benefits for the station.

TIMELINE
We're going to talk about registration next week--so we'll talk about when
that will go live.   As far as other timeline advice, we're happy to give
advice!
Press outreach is another issue, as well--is there a point person for that?

Also workshops--and workshop space.  I am not sure about the space--will
some workshops be held there?

i'll ask about the mugs, as well.

I think alot of  these issues would be easiest to hash out in a
conversation--can I touch base with someone initially over the phone?  and
then we should think about weekly or biweekly conference calls.
